Position: Office Manager

Reports to: Church Pastor

Supervises: Church Office Volunteers

Current Wage: $15.00

Job Summary:

Our Office Manager serves as the frontline of Yellow Springs UMC. This position provides administrative support to the pastor, manages the office's operations, and serves all church and community members during the specified church hours. It also requires the Office Manager to have the gift of hospitality, encouragement, and respect for all regardless of age, gender, racial/ethnic background, socioeconomic status, disability, or other factors.

Skills and Qualification:

  • Maintain confidentiality of Church business
  • Prior Secretarial office experience.
  • Ability to work independently and demonstrate initiative; capable of prioritizing and managing own workload; and work with minimum supervision.
  • Ability to work under moderately stressful conditions to maintain required level of productivity and meet deadlines in a timely and proficient manner with attention to detail.
  • Strong organizational skills; Exceptional written and oral communication skills.
  • Proficient Computer experience; working knowledge of Microsoft Office.
  • Successfully passing background check, fingerprinting, and drug screen.

Job Responsibilities:

  • Organize and maintain church office; archive paper and electronic documents/files and update records as necessary.
  • Responsible for church calendar; coordinate the scheduling of church activities on electronic/desk calendars and posting as appropriate.
  • Develop and maintain process documentation and keep Office Procedures Manual.
  • Answer telephone; retrieve and sort physical/electronic mail {including answering machine} and deliver to appropriate person.
  • Request and collect information for church newsletter, and Facebook page.
  • Coordinate and prepare Sunday bulletin, monthly newsletter, reports, letters, and notices, including electronic mail, as requested.
  • Submit articles, notices and adds to local news outlets for special church services and/or church events.
  • Change inside/outside message boards weekly.
  • Coordinate and oversee weekly church power point for projectors.
  • Send follow-up letters to visitors as necessary.
  • Maintain office equipment; schedule repairs as needed.
  • Maintain inventory of office supplies; notify appropriate person of office supplies needed to be ordered/purchased.
  • Train/coordinate volunteers for the church office.
  • Update church directory annually; maintain list of emergency contacts.
  • Log and report hours worked during the pay period to payroll manager.
  • Submit requests for time off/vacation to the Pastor four (4) weeks in advance. Except for emergencies; arrange substitute coverage for office
  • Other duties as requested by the Pastor or Staff Pastor Parish Relations committee
